Instructions for Filling Out the
Monthly Religious Services & Programs (RSP) Report Forms

 
 
NOTE: There are TWO versions of the RSP Report Form. One is the “FILLABLE” version. This is actually a Word document with an Excel spreadsheet embedded in the document. This version has the formulas that will tally your total numbers at the bottom of the form. If you are comfortable with filling out the form on the computer and if you plan to e-mail the report in as an attachment, this is the form you will want to use. The other version is a “PRINTABLE” version. This is a “static” PDF document that cannot be filled out on the computer and that has no formulas (i.e. it will not tally your total numbers for you). If you are more comfortable with simply printing off the form and then typing it or doing it by hand and faxing it in, this is the form you will want to use. (Others may wish to print this blank form off and use it as a worksheet before doing the fillable version of the form.)
 
 
 
 
Instructions for the two versions of the RSP Report Form are as follows:
 
 
"FILLABLE" Version
 
 
1. Generally, if you are going to be regularly using the Fillable Version, you’ll want to save a copy to a folder on your computer and name it “RSP Master Copy” (though you can always come back on to the website to get a copy again if you need it).
 
 
2. Each month when you’re ready to work on the RSP Report, open up your “RSP Master Copy” and under “File” click on “Save As.” (This way your “RSP Master Copy” will still be saved in the background with no changes – i.e. left blank – so you can use it over and over again.) Name your new document something like “January 2012 RSP Report” and save the document (along with all changes when you’re done). You should probably create a folder on your computer in which you keep all of these reports.
 
 
3. Most of the areas that you are filling out are simply text boxes. You just click in the box and type. Then click in another box when you’re ready to type in that one.
 
 

4. The main “numbers graph” of the report is an embedded Excel spreadsheet. In order to work in this spreadsheet, DOUBLE-CLICK anywhere on the inside of the spreadsheet. This will make it “pop up” in front of the rest of the form so you can work in it “live.” From that point forward, you simply enter your numbers in the columns. You can tab from box to box. You will notice that your total numbers are tallying at the bottom as you go. Type in additional religions/faith groups as needed in the left-hand column. When you are finished entering all of your numbers and have reviewed your totals, DOUBLE-CLICK anywhere outside of the Excel spreadsheet. This will close it and return it back onto the form and will save your data.

 
 
5. When you have finished filling out the form, review it for accuracy, print a hardcopy for your files, save your changes and close the form. Then go to your e-mail. Create an e-mail and attach your saved document to the e-mail. (Please click on “Attachment” and ATTACH the form that way. Do NOT try to copy the whole document and paste it into the body of your e-mail, as we cannot save or properly print it that way.) "PRINTABLE" Version
 
 
1. You may choose to save the PDF (printable) version to a file on your computer if you like. That way you can always simply go to the document and open it and print it right from your computer. Alternatively, you can go to the website (www.chaplainservice.org), click on “Chaplains’ Bulletin Board”, click on the PDF (printable) version icon to open it, and then print it from there. (You can also do this from your home computer if you have the internet.)
 
   
 
2. Handwrite or type your info into the form. Don’t forget to tally your totals at the bottom. Make a copy for your files. FAX a copy to (804) 358-7020 (or you can mail it to: Chaplain Service; 2317 Westwood Ave., 103A; Richmond, VA 23230).
